This Privacy Policy explains how Polariz Incorporation Pvt Ltd ("Polariz", "we", "us" or "our") collects, uses, stores, shares and protects personal information when you access or use polariz.in and the Polariz Career Intelligence Platform (collectively, the "Service").

Polariz is currently intended for users located in India.

By using Polariz and voluntarily providing information to us, including by uploading a resume, you acknowledge the practices described in this Privacy Policy.

This Privacy Policy should be read together with our Terms and Conditions available at /tnc.


1. Who We Are

Polariz is an AI-powered Career Intelligence Platform operated by Polariz Incorporation Pvt Ltd in India.

2. Scope of This Policy

This Privacy Policy applies to personal information processed through Polariz, including information:

  • contained in resumes uploaded to the Service;
  • extracted from those resumes;
  • generated or inferred from resume analysis;
  • created while providing career intelligence;
  • generated through use of the Service; and
  • processed by technology providers acting on our behalf.

It does not apply to independent third-party websites, courses or services accessed through links provided by Polariz.


3. Eligibility

Polariz is intended only for individuals who are 18 years of age or older.

Users under 18 should not use the Service or upload personal information.

Polariz does not intentionally provide the Service to children.


4. Personal Information We Collect

The information Polariz processes depends primarily on information contained in the resume voluntarily uploaded by the user.

4.1 Resume information

When a resume is uploaded, Polariz may process and store:

  • the resume PDF;
  • original filename;
  • file size;
  • file format;
  • file hash or similar identifier;
  • upload and processing timestamps;
  • version information; and
  • technical storage references associated with the document.

4.2 Personal information contained in the resume

Depending on the resume, Polariz may process:

  • full name;
  • email address;
  • telephone number;
  • city;
  • country;
  • professional contact information; and
  • other personal information appearing in the document.

4.3 Professional information

Polariz may extract and process:

  • current designation or job title;
  • current and previous employers;
  • current professional function;
  • professional domain or industry;
  • years of experience;
  • employment history;
  • job responsibilities;
  • achievements;
  • projects;
  • educational qualifications;
  • educational institutions;
  • certifications;
  • languages;
  • skills;
  • tools;
  • software;
  • technologies;
  • methodologies; and
  • other professional experience described in the resume.

5. Information Polariz Derives

Some information provided by Polariz is generated or inferred using software and AI systems rather than directly supplied by the user.

This may include:

  • detected professional role;
  • career function;
  • professional domain;
  • estimated seniority;
  • skill classifications;
  • skill-category scores;
  • professional strengths;
  • professional summary;
  • career trajectory observations;
  • career-path recommendations;
  • recommendation rankings or scores;
  • reasons why a career path may fit the user;
  • skills that may need development;
  • indicative salary ranges; and
  • learning or educational recommendations.

These are derived insights and should not be treated as independently verified facts.


6. Resume Validation and Processing Information

Polariz may generate operational information including:

  • whether a document appears to be a valid resume;
  • validation status;
  • validation confidence;
  • validation reasons;
  • processing status;
  • extracted-text length;
  • parser or analysis version;
  • processing timestamps; and
  • error or diagnostic information.

This information helps operate, troubleshoot and protect the Service.

Documents that fail resume validation may have limited validation and technical metadata retained even where the uploaded file itself is not retained.


7. Information We Do Not Intentionally Request

Polariz is designed to provide professional and career intelligence.

Polariz does not intentionally request information such as:

  • religion;
  • caste;
  • ethnicity;
  • sexual orientation;
  • marital status;
  • political beliefs;
  • health information;
  • disability information;
  • biometric information;
  • government identity numbers;
  • financial account details; or
  • other information unrelated to professional career analysis.

Users may nevertheless include additional information in resumes such as:

  • date of birth;
  • age;
  • gender;
  • nationality;
  • photograph;
  • marital status; or
  • other personal characteristics.

If such information appears in an uploaded resume, it may technically be processed as part of the document.

Polariz does not intentionally use such characteristics as factors for career scoring, skills analysis or career-path recommendations.

Users are encouraged to avoid including unnecessary sensitive or highly personal information.


8. How We Use Information

Polariz may process personal information to:

  • receive and process resume uploads;
  • determine whether a document appears to be a professional resume;
  • extract professional information;
  • generate a career summary;
  • identify and classify skills;
  • determine career-relevant professional attributes;
  • generate career paths;
  • identify skills that may need development;
  • generate salary-related career information;
  • recommend relevant learning resources;
  • display the Polariz report;
  • prevent duplicate or corrupted processing;
  • diagnose technical errors;
  • maintain security and reliability;
  • prevent misuse or abuse;
  • respond to support or deletion requests;
  • comply with applicable legal obligations; and
  • maintain and improve the reliability and functionality of the Service.

Resume information is not currently processed for unrelated advertising purposes.


9. Artificial Intelligence Processing

Polariz uses artificial intelligence and other automated systems as part of its career-analysis process.

Information extracted from a resume may be sent to an AI service provider, including OpenAI, for processing.

Information supplied for AI processing may include professional information and resume text necessary to:

  • validate the resume;
  • extract candidate information;
  • analyse skills;
  • identify professional attributes; and
  • generate career recommendations.

Polariz combines AI-generated information with its own software logic, career taxonomies, datasets and business rules.

AI-generated results may be inaccurate or incomplete and should be treated as career intelligence rather than independently verified facts.


10. Use of Personal Data for AI Training

Polariz does not use user resumes or career data to train its own artificial-intelligence models.

Polariz currently uses the OpenAI API for AI processing.

Polariz does not intend to opt user resume data into AI model training.

If Polariz materially changes its approach to model training, this Privacy Policy will be updated and any consent required under applicable law will be obtained.


11. Automated Career Recommendations

Polariz uses automated processing to generate professional insights and career recommendations.

These may include:

  • possible future roles;
  • relative recommendation scores;
  • estimated career fit;
  • skills to develop;
  • indicative compensation; and
  • learning recommendations.

Polariz does not use these recommendations to:

  • hire or reject a person;
  • make employment decisions on behalf of an employer;
  • determine legal rights;
  • determine eligibility for financial services; or
  • make decisions having independent legal effect over a user.

Users remain free to accept, reject or ignore recommendations.


12. How Information Is Stored

Polariz uses third-party technology infrastructure.

This currently includes:

Supabase

Used for functions including:

  • database storage;
  • structured candidate information;
  • resume metadata;
  • skills analysis;
  • career recommendations;
  • learning recommendations; and
  • resume file storage.

Lovable Cloud

Used as part of Polariz's application hosting and production infrastructure.

OpenAI

Used to process resume information and generate AI-assisted career analysis.

These providers may process information on behalf of Polariz in accordance with their respective agreements, security practices and applicable laws.


13. International Processing

Although Polariz is currently intended for users in India, some technology providers may operate infrastructure outside India.

Personal information may therefore be processed or stored outside India depending on infrastructure used by those providers.

Where applicable, Polariz will handle such processing in accordance with Indian law and applicable cross-border data restrictions.


14. Data Retention

Polariz currently retains valid uploaded resumes and career information generated from them until the user requests deletion, unless:

  • the information is deleted earlier by Polariz;
  • Polariz determines it is no longer necessary;
  • retention is required to comply with law;
  • retention is necessary to resolve a dispute; or
  • retention is reasonably necessary for security, fraud prevention or enforcement.

Information retained may include:

  • uploaded resume;
  • extracted candidate profile;
  • skills analysis;
  • career recommendations;
  • learning recommendations;
  • validation information; and
  • associated technical records.

Polariz may introduce specific automatic retention periods in the future and will update this Privacy Policy if it does.


15. How to Delete Your Data

Users may request deletion of their resume and associated personal information.

Polariz may request reasonable information necessary to verify the request relates to the requesting user's information.

Following a valid request, Polariz will take reasonable steps to delete relevant personal information from active systems, subject to:

  • applicable legal requirements;
  • security obligations;
  • prevention of fraud or abuse;
  • dispute-resolution requirements; and
  • technical backup or recovery systems where applicable.

Where information must legally be retained, only information reasonably required for that purpose may be retained.


16. Withdrawal of Consent

Where Polariz relies on consent to process personal information, users may withdraw that consent.

Withdrawal does not affect processing that was lawful before withdrawal.

Withdrawal may prevent Polariz from continuing to provide some or all of the Service.


17. User Privacy Rights

Subject to applicable law, users may have rights including:

  • asking what personal information Polariz processes;
  • requesting correction of inaccurate information;
  • requesting completion or updating of information;
  • requesting deletion;
  • withdrawing consent where applicable;
  • raising a grievance regarding processing; and
  • exercising other rights provided under applicable Indian data-protection law.

18. Security

Polariz uses reasonable technical and organisational safeguards intended to protect personal information against:

  • unauthorised access;
  • unauthorised disclosure;
  • alteration;
  • loss;
  • misuse; and
  • destruction.

Security measures may include:

  • restricted database access;
  • access controls;
  • server-side data operations;
  • cloud-provider security controls;
  • encrypted network communication;
  • controlled storage access; and
  • operational monitoring.

No website, cloud platform, storage system or transmission method can be guaranteed to be completely secure.

19. Sharing of Personal Information

Polariz does not sell personal information.

Polariz may share or permit access to personal information where reasonably necessary with:

  • cloud hosting providers;
  • database and storage providers;
  • AI-processing providers;
  • security or infrastructure providers;
  • professional advisers where required;
  • regulators or government authorities where legally required; or
  • parties involved in a permitted corporate transaction.

20. Advertising and Marketing

Polariz does not currently use resume information for advertising or marketing.

Polariz does not currently:

  • send promotional emails based on resume information;
  • sell user information to advertisers;
  • create advertising profiles from resume information; or
  • use email addresses extracted from resumes for newsletters without separate permission.

If marketing communications are introduced later, Polariz will provide appropriate notice and obtain consent where required.


21. Analytics, Cookies and Tracking

Polariz does not currently use third-party advertising pixels or behavioural analytics tools for advertising or profiling.

The Service may use essential technical mechanisms necessary to:

  • operate the website;
  • maintain sessions;
  • protect security;
  • prevent abuse; or
  • deliver application functionality.

Hosting and infrastructure providers may create basic technical logs necessary to operate and secure their services.

If Polariz introduces material analytics, advertising or tracking technology later, this Privacy Policy will be updated and any legally required consent mechanism will be implemented.


22. LinkedIn Authentication

Polariz does not currently require LinkedIn authentication.

Polariz may introduce LinkedIn authentication or account functionality in the future.

If introduced, Polariz may receive information authorised by the user and made available by LinkedIn, potentially including:

  • name;
  • email address;
  • account identifier; or
  • profile information permitted by LinkedIn and authorised by the user.

This Privacy Policy must be updated when LinkedIn authentication becomes active.


23. Payment Information

Polariz is currently provided without charge and does not currently collect payment-card information.

Polariz may introduce paid services, subscriptions or payment gateways in the future.

If payments are introduced, payment processing may be handled by an independent payment processor.

Where possible, Polariz intends not to directly store complete credit-card or debit-card information.

This Privacy Policy must be updated when payment processing becomes active.


24. Third-Party Learning Resources and Websites

Polariz may display links to:

  • courses;
  • educational programmes;
  • training providers;
  • certifications; and
  • other third-party resources.

When a user leaves Polariz and accesses an independent third-party website, the third party's own terms and privacy policy apply.


25. Corporate Transactions

If Polariz undergoes a merger, acquisition, restructuring, financing, sale of assets or similar corporate transaction, information may be transferred as part of that transaction where permitted by law.

Any successor receiving personal information remains subject to applicable privacy obligations.


26. Legal Disclosure

Polariz may disclose information where reasonably necessary to:

  • comply with applicable law;
  • comply with valid legal process;
  • respond to lawful requests from authorities;
  • protect Polariz's rights or property;
  • investigate fraud or abuse;
  • protect users or the public; or
  • establish, exercise or defend legal claims.

27. Data Breaches and Security Incidents

If a security incident affects personal information, Polariz will investigate and take reasonable steps to contain and remediate the incident.

Where applicable law requires notification to affected individuals or regulatory authorities, Polariz will provide such notification in accordance with applicable requirements.

Nothing prevents a user from exercising any right to approach an authority or regulatory body available under applicable law.


29. Changes to This Privacy Policy

Polariz may update this Privacy Policy to reflect changes in:

  • the Service;
  • data-processing practices;
  • AI providers;
  • authentication;
  • payments;
  • analytics;
  • marketing;
  • legal requirements; or
  • third-party infrastructure.

When the Privacy Policy is updated, the Last Updated date will be changed.

Where a change materially affects how personal information is used, Polariz will provide additional notice or obtain consent where required by applicable law.
